To share a Cinapse schedule, open the Share window, add a teammate's email, and send them an invite; they get an email link to the file. Once your team is in, everyone can work the same file at the same time, with edits syncing live.
This article covers inviting and removing people, how real-time collaboration works, and fixing invite/access problems. (For scheduling across multiple units, blocks, or episodes, see Crossboarding. For who-can-do-what (edit vs. read-only and roles), see How do user roles and permissions work in Cinapse?)
Share a schedule (invite someone)
Open the Share window one of two ways:
- From My Files: right-click the file and select Share.
- From inside a schedule: click the blue Share button in the top-right corner.
To invite someone:
- Type their email address.
- Select Add on the drop-down showing their email.
- When the email is added, the Send invite button turns blue; click Send invite.
They'll receive an email with a link to the schedule. If they already have a Cinapse account you'll see their profile and title; if not, you'll see "Invited to join" next to their email.
Important: an invite only works for the exact email address it was sent to. If you send it to john@disney.com but the person is signed in as john@hbo.com, they simply won't see the invite. Always send the invite to the email they'll actually be logged in with.
Remove someone from a file
- In the Share window, click the Can edit button next to the person.
- Select Remove.
- You'll see a confirmation that they've been removed.
Removing someone takes effect immediately. If they happen to be offline the moment you remove them, their access is revoked automatically the next time they come back online. (If you invited someone who hadn't registered yet and then cancel the invite or remove them, their email link automatically becomes inactive.)
How real-time collaboration works
Multiple team members can open and edit the same schedule at the same time — no emailing files back and forth. A single Cinapse schedule can hold multiple units, episodes, and users. 1st and 2nd ADs can each build schedules, customize their own layouts and color palettes, edit and add elements, and create reports, and everything syncs in real time. Each person's icon appears on the strip or element they're currently editing, so you always know where everyone is in the file.
Split Panel view lets each user control their own view independently, for example seeing the stripboard and breakdown sheets at once. See Split Panel and Full Panel mode.
Troubleshooting invites & access
The person I invited didn't get the email, or can't open it.
- Ask them to check spam/junk, and confirm you sent it to the exact email they sign in with.
- An invite only works for the address it was sent to; accepting while logged into a different account won't work. Re-send it to the correct email if needed.
I've lost access to a schedule.
You should never lose access to a schedule. If it ever happens, contact us and we'll restore it. (For a deleted or missing file, see Can I recover a deleted or lost schedule?)
